Design Service Agreement
Begin Your Custom Engagement Ring Design
Every custom engagement ring begins with a clear design direction.
The Design Service allows Winnipeg Engagement Rings to review your ideas, establish the specifications of your ring, coordinate the development of a three-dimensional computer-aided design model, and prepare the design for your review before production.
The Design Engagement begins with a $250 CAD design deposit, plus applicable taxes.
The design deposit is credited toward the required production deposit if you proceed with production through Winnipeg Engagement Rings.
Once order-specific design work begins, the design deposit becomes non-refundable, except where otherwise required by applicable law.
What Is Included
Your Design Engagement includes:
- Review of your inspiration and confirmed design direction
- Project setup and design coordination
- Preparation of one initial three-dimensional CAD model or render
- Review of the initial design with you
- Up to two refinement rounds within the original design direction
- Preparation of the design for final approval
“CAD” means computer-aided design. The CAD model allows you to review the ring’s proportions, structure, setting, stone placement, and overall design before production begins.
Production is separate from the Design Engagement and does not begin automatically.
How the Process Works
1. Confirming Your Direction
Before design work begins, we confirm the main details of your engagement ring, which may include:
- Centre-stone type, shape, size, colour, clarity, and dimensions
- Setting style
- Metal type and colour
- Ring size
- Design preferences
- Preliminary price range
- Requested timeline
You may provide inspiration photographs, sketches, listings, screenshots, or written design details to help establish the intended direction.
2. Beginning the Design Engagement
Design work begins after Winnipeg Engagement Rings has received:
- Your signed or electronic acceptance of this Design Engagement Agreement; and
- Cleared payment of the $250 design deposit plus applicable taxes.
Design work may include project setup, internal design review, preparation of design instructions, communication with the CAD designer, CAD coordination, and other work specific to your ring.
3. Receiving Your Initial Design
The initial CAD model or render is typically prepared within one to one-and-a-half weeks after the Design Engagement begins.
This timeframe is an estimate. Timing may vary depending on design complexity, stone availability, CAD scheduling, requested changes, supplier timing, and how quickly information or feedback is received.
4. Reviewing and Refining the Design
You may review the initial design and request up to two refinement rounds within the original design direction.
A refinement round means one organized set of requested adjustments to the existing design. Examples may include:
- Adjusting proportions
- Refining band width
- Modifying stone presentation
- Refining setting details
- Improving the overall balance of the design
Refinement is intended to resolve the approved design direction, not replace it with an entirely new concept.
5. Approving the Design
Before production begins, you will be asked to review and approve the final design and specifications.
Approval may be provided through an electronic signature, checked acceptance box, email, text message, invoice platform, or another written method accepted by Winnipeg Engagement Rings.
Production begins only after:
- Final design approval has been received; and
- The required production deposit has been paid.
Design Deposit
The Design Engagement requires a deposit of:
$250 CAD plus applicable taxes
The design deposit covers custom design services, project setup, design review, CAD coordination, administrative work, and preparation of the initial CAD model or render.
If You Proceed to Production
The $250 design deposit plus applicable taxes will be credited toward the required production deposit.
For example, where the production deposit is 50% of the final order price, the $250 design deposit is applied as a credit toward the amount otherwise due at that stage.
If You Do Not Proceed to Production
You are not required to proceed with production after reviewing the design.
However, once order-specific design work has begun, the design deposit is earned and non-refundable because it compensates Winnipeg Engagement Rings for the design services and work already undertaken, except where applicable law requires otherwise.
Cancellation Before Work Begins
If you cancel before order-specific design work has begun, the design deposit will be refunded, less any payment-processing amount that may lawfully be retained.
If Winnipeg Engagement Rings is unable to begin the Design Engagement after accepting payment, the deposit will be refunded unless another arrangement is agreed to in writing.
Changes Outside the Original Design Direction
A substantial change may require additional design work and an additional fee.
Substantial changes may include:
- Changing the centre-stone shape after CAD work begins
- Changing the centre-stone dimensions in a way that requires a new model
- Changing to a substantially different setting style
- Replacing the original design direction with a new concept
- Requesting structural changes after CAD work begins
- Requesting more than two refinement rounds
- Requesting a new CAD model
A centre-stone shape change after CAD work begins may require a $100 CAD design-redirection fee.
A complete redesign or substantially new concept may require a new Design Engagement and an additional design deposit.
Any additional fee will be disclosed before the additional work begins.
CAD Models and Finished Rings
CAD models and renders are design representations used to show the intended design, structure, proportions, and layout of the ring.
The finished ring will be produced according to the approved specifications, subject to normal:
- Manufacturing tolerances
- Stone characteristics
- Metal and material characteristics
- Finishing requirements
- Hand-finishing processes
- Quality-control review
CAD images may not perfectly reproduce:
- Final metal colour
- Diamond or gemstone appearance
- Light reflection and sparkle
- Polish and texture
- Exact visual scale
- Prong finishing
- Hand-finished details
The CAD model should therefore be understood as an approval and design-planning tool, rather than a photographic guarantee that every visual detail of the finished ring will appear identical to the digital image.
Your Responsibilities
You are responsible for carefully reviewing and confirming the information provided for your ring, including:
- Ring size
- Diamond or gemstone type
- Stone shape and dimensions
- Colour, clarity, carat weight, and certificate information
- Metal type and colour
- Setting style
- Design preferences
- Engraving
- Timeline requirements
- Contact information
- Pickup or shipping information
Incorrect, incomplete, delayed, or changed information may result in redesign, additional charges, resizing costs, production changes, or delays.
Please review every design and specification carefully before providing final approval.
Quotes and Stone Availability
Unless otherwise stated in writing, quoted pricing is valid for seven days from the quote date.
Pricing may change after the validity period because of changes in:
- Diamond or gemstone availability
- Precious-metal prices
- Supplier prices
- Foreign-exchange rates
- Taxes or duties
- Shipping costs
- Design specifications
Diamonds and gemstones remain subject to availability until they have been purchased, reserved, or otherwise secured.
If a selected stone becomes unavailable before it is secured, Winnipeg Engagement Rings may present a comparable alternative for your approval.
No stone, component, metal, or supplier price is guaranteed unless confirmed in writing.
Moving Into Production
After you approve the final design and choose to proceed, Winnipeg Engagement Rings will issue a production invoice.
Unless otherwise confirmed in writing, the required production deposit is 50% of the final production invoice.
The $250 design deposit will be credited toward the production deposit amount due.
Production begins only after final design approval and receipt of the required production deposit.
Once production begins, the production deposit becomes non-refundable because materials, sourcing, manufacturing, and other order-specific work have been committed to the approved ring, except where applicable law requires otherwise.
Changes requested after production begins may not be possible. Any accepted change may involve additional costs and a revised completion timeline.
Ownership of Design Materials
